BUDGET-MONTHLY WINDOW:
This window shows you the present state of your budget and cash accounts on a monthly bases.
If an single budget is selected, then you can modify the budget of each month individually.
If you have made any changes and you CANCEL or close the window, a dialog box will appear to confirm that you want to throw away your changes. If you decide not to throw them away, then the cancel request will be ignored.
CALCULATOR WINDOW:
The calculator allows you to do simple math function on two numbers. The Result is copied to the clipboard.
Click the Calculate button to perform the selected function.
If the Totalize check box is checked, then a running (summation) total of calculated results will be kept.
The Clear button, clears the Total field.
The Copy button, copies the Total to the first input field.
Selecting a function updates the description field.
Home Accounting uses integer math everywhere (for accuracy) except here. Floating Point math is used for all functions but Random.
CHECK (ADD) ENTRY WINDOW:
Makes a new entry in the data base.
Enter the following:
Post Date (date you wrote the check, or did an auto withdrawal from an ATM, etc...)
Name (name of payer or transaction like CASH for an ATM withdrawal, etc...). Selecting a budget account with a name places that name in this field.
Comment (optional, usually why the entry or what the entry is.)
Check Number (0 if not applicable).
Date Cleared (optional, usually the date of the bank statement).
Amount of deposit or payment (can not be zero or negative).
Select which cash account the entry applies to.
You may make a non-budgeted entry by selecting NONE. This will enable the Payment and Deposit buttons.
Unchecking the Update Windows box will prevent the data base Register, Budget and Statistics windows from being updated after every addition (every time either of these windows is updated the entire data base is analyzed, and the display is redraw based on the display selections, which can take a lot of time if the data base is large).
Click the Add button to enter the new entry into the data base or...
Click the Done button to exit the Check Entry window.
CHECK EDIT ENTRY WINDOW:
Modify a data base entry. You automatically exit after pressing either the Done or Edit buttons.
CHECK INSERT ENTRY WINDOW:
Insert a new entry before the selected entry. You automatically exit after pressing either the Done or Insert buttons.
COLOR MODELS:
Home Accounting allows color modification using four color models:
RGB
Red Green Blue.
These are the color your color monitor can display directly. Each color can hold a value from 0 to 65535. 0 is no color and 65535 is maximum brightness. This is the basic color model of the Mac. These colors are called addative colors, because they create other colors by adding their values together.
CMY
Cyan Magenta Yellow
These are the color your color printer can display directly. Each color can hold a value from 0 to 65535. 0 is no color and 65535 is maximum brightness. These colors are called subtractive colors, because they create other colors by subtracting (absorbing) all colors but their own. The resultent color is the mixture of the three colors that are reflected back to your eye.
HSV
Hue Saturation Value
This is a theorictical way of describing light. Hue is a pure color (the rainbow is an example of hues). The colors from red to green to blue back to red are mapped onto a circle. Red sits at 0 degrees on the circle. Green is at 120 degrees and blue is at 240 degrees. Another 120 degress brings you back to 0. At 0% saturation you get a gray and at 100% you get a pure color. At 0% value you get black and at 100% value you get the maximum intensity the color can be set to.
HLS or HSL
Hue Saturation Luminosity
This is a theorictical way of describing light. Hue is described in the HSV color model. For internal representation the L and S values are swapped (thus most references call out HSL rather than HLS). Saturation is described in the HSV color model. At 0% luminosity you get black and at 100% you get white.
DB PREFERENCE WINDOW:
Allows you to modify several preferences of the current data base. The main preference of a data base is the setup of your cash and budget ( Income and Expense ) accounts.
On the left side of the window is a list of icons that allows you select the category of preferences to modify. The Preference Selection popup menu can also be used to select the category of preference to modify.
In the bottom portion of the window is three buttons:
Default:
Loads Home Accounting's default preferences. These preferences are loaded when no preference file can be found at startup and when a data base is not being loaded from startup.
OK:
Keeps your changes.
Cancel:
Ignores your changes. If you made any changes to your preferences, a dialog box will appear to confirm that you want to throw away your changes. If you decide not to throw them away, then the cancel request will be ignored.
Above the buttons and to the right of the selection list is the preference view.
There are five preference categories;
General Date Accounts Names Security
General preferences:
Set the owners name of the data base (this is used to separate data bases for routines that process more than one data base).
Date preferences:
Set the default year.
Enter the year that will be used as the default year in all date entries. When a new data base is created you should set the default year.
Account preferences:
There are two types of accounts managed by this program, those that represent actual cash and those that track distribution of that cash, which are called budget accounts. You are not required to create budget accounts, but there must be at least one cash account. Each budget account is either an Income or an Expense account.
To add an account, select one of the account type lists (cash or budget) and enter a name in the Account Name field (for a budget account select the type of account, Expense or Income), then click the Add button. The name entered must be unique. There are a few restrictions that if used would confuse you and the program. I can not think of any reason to use them.
To delete an account, select the account from the account type list, then click the Delete button. You can not delete an account that is referenced by an entry in the data base.
To rename an account, select the account from the account type list (cash or budget) and enter a name in the Account Name field, then click the Rename button.
To find an account, select one of the account type lists (cash or budget) and enter a name in the Account Name field, then click the Find button. The selected account type will be searched first, then the other. The search routine uses an approximation method ( exp. AS will match both GAS and ASPRIN). If you check the Case Check box the search routine will also examine the case of a character (i.e. A is not the same as a).
The cash accounts may be given a starting balance. To enter a starting balance, select a cash account, then enter a value in the Starting Balance field (the value is applied when you exit the edit field).
The budget accounts usually represent your expected income distribution for a single year (or month). To enter an annual budget, select the budget account, then enter a value in the Annual Budget field (the value is applied when you exit the edit field). The program manages the budgets on a monthly schedule, therefore the annual budget entered is divided by 12. The monthly entries are computed to the penny for 11 months and the remaining amount is applied to the 12 th month. You can modify the individual monthly budgets from the Budget-Monthly window.
Name preferences:
You may attach names to each budget account. The name is used in the various data entry windows name field when a budget is selected.
To give a name to use with a budget account:
Enter a name in the Account Name field.
Select the budget account to attach the name to.
Security preferences:
This allows you to set the level of security on the program as well as the data. The encryption routine is not that secure. For maximum security use a real encryption program.
Encryption.
Encryption uses the password for the application. Therefore, all loaded data bases should be encrypted with the same password. It is recommended that you do not encrypt the data base. For maximum security you should buy a product designed specifically for protecting data from prying eyes. The encryption algorithm is a simple one used to protect your data from accidentally being seen (such as in recovering data from a crashed hard drive).
Encrypting memory will drasticly slow down Home Accounting. Encrypting the File only affects Home Acounting when saving and loading a data base.
DB STATISTICS WINDOW:
Provides statistical information about the current data base and several program structures and states.

ERROR MESSAGES WINDOW:
Maintains a running record of error messages. The error message window can appear in two sizes. Large or Small. When either window opens they will display the last error message generated.
LARGE VIEW:
In the upper left of the view are two scroll list. These show what error codes and error types are visible in the lower scroll list.
Selecting an error code or error type and clicking the No Display buttom will remove all error messages of the selected error code from the bottom scroll list (if any).
Selecting an error code or error type and clicking the Display buttom will cause all error messages of the selected error code to appear in the bottom scroll list (if any).
The lower scroll list shows the first part of each header of an error message. Selecting a header places the error message's header and message in the edit fields on the left.
The message edit field (bottom edit field) allows you to edit or view the message portion of an error message.
The header edit field (above the message edit field) allows you to edit or view the header portion of an error message.
The edit field (below the Insert button) indicates the number of the currently selected error message or the number of available error messages. To set this field either select a header or enter a number. The number must be from 1 to the number of error messages (indicated in the data field to the right).
Thie edit field below the error number edit field sets the error code for an error message added or updated.
After editing an error message, clicking the Update button will cause the selected error message to be updated.
After editing an error message, clicking the Insert button will create a new error message and insert it before the error message selected.
After editing an error message, clicking the Add button will create a new error message and append it to the rest of the error messages.
Clicking the Delete button will delete the selected error message.
Clicking the Delete All button will delete all error messages.
Clicking the Find button will search all displayed error messages for the text entered in the find entry field (below the Find button). The find begins at the first error message displayed.
Clicking the Find Again button will search all visible error messages for the text entered in the find entry field (below the Find button). The find again begins at the selected error message.
Clicking the Less button will switch the view to the Small view window.
SMALL VIEW:
As with the large view, the small view has the two edit fields, header and message. The three data fields (top row) show, the number of the current error message displayed, the total number of error messages, and the error code of the current error message.
Clicking the Next button will show the next error message. This wraps around to error message 1.
Clicking the Previous button will show the previous error message. This wraps around to the last error message.
Clicking the More button will switch the view to the Large view window.
GENERAL:
This program automates the management and budgeting of your personal cash registers (checking, saving accounts, etc…).
The TAB key may be used to move from one entry field to the next. Holding down the shift key and pressing the TAB key will move you form entry field to entry field in reverse order. In several places you can complete an entry by pressing the Return key.
The custom in accounting is to show negative balances in parentheses (it is easy to over look a small dash in front of a number). The negative balance indicates that the result is opposite of what is expected. A negative balance on a cash account is refereed to being in the Red (or spending more than you have, which in the government is called deficit spending). A negative budget means that cash has been added to a budget above the initial creation (this in theory should not happen). A positive balance on a budget means your operating in the Black (or under budget, which means at the end of the year, that your initial projections were off).
Remember, a budget in general does not take into account the unexpected. Therefore being over budget does not mean you have a financial problem as long as your expenses do not exceed your income. Being over budget only means that you need to take a closer look at how you are managing your money, and the need to re-evaluate your expectations on spending/saving during the year.
The Home Accounting has a built-in converter program that will load a preference or data base file created with an older version of Home Accounting.
This program tries not to use modal dialog boxes (not including file related dialog boxes). To do this and maintain the integrity of the data base, I have implemented a window manager that prioritizes the stacking order of the program's windows. This allows windows such as the Calculator to be used with windows that would normally be modal (such as the DB Preference window).
In general, selecting Close Window (command-W) from the File menu, clicking a window's close box or clicking on a Done or Cancel button closes a window and ignores any changes made. The Budget-Monthly, Preferences and DB Preferences will verify a close if you have made any changes.
HELP WINDOW:
This window manages the documentation for the Home Accounting application. It is completely resource based. All documentation is store in the styl and TEXT resources.
You may edit any text to your liking. Click the Save button to save your changes.
You may add a new help resource by clicking the Add button. You will be prompted for a new name. The current help text will be saved under the new name (the old help resource is unaffected).
To delete a resource click the Delete button. There must be at least one help resource.
THE FILE MENU:
New creates a new data base using the internal default setting, if there is no Preference file.
Open loads a previously saved data base. The internal conversion routine at present can only convert data bases from the 1.0.0a2 version (this includes the fixed versions but none of the preliminary versions such as 1.0.0a2p2).
Close Window close the front window and works like a click on a Cancel button.
Save creates a file and stores the contents of the current data base in that file. If no file has been previously saved or loaded, then refer to the Save As menu selection.
Save As is the same as save except it brings up a standard save dialog box.
Save As Text creates a tab delineated text file of the data represented in the front window. This allows you to transfer the contents of the data base to another program (word processor or spreadsheet, etc...). The amount of information saved is determined in most cases by the save preferences.
Revert will reload the data base from the last saved or opened file.
Split creates a new data base of all cleared data entries from the current data base. All cleared data entries are then deleted from the current data base. The new data base then becomes the current data base.
Printer Setup does the normal thing.
Print will print out the contents of the front window as the Save As Text function does. The printout is formatted for the type of data displayed. At present, text only windows (such as the Help window), only prints the first page of data.
Quit exits the program. Selecting Quit when there has been a change in any data base, will bring up a dialog box asking if you want to save, not save, or cancel the menu selection (for each changed data base).
THE EDIT MENU:
This menu gives you access to the standard editing functions. The Color submenu allows the use of color in all text fields (but the color change may not be permanent). The Other seletion will bring up the Palette Manager window.
THE WINDOWS MENU:
This menu gives you access ( and command key selection) to most of the windows in the program. Windows specific to a data base are prefixed with the initials DB. They only deal with windows belonging to the current data base (see the Data Base Manager window for more information).
Tile Windows will neatly layout the windows on the screen starting at the upper left corner below the menu bar.
THE FUNCTIONS MENU:
This menu gives you access to all year-to-year functions and the registration window.
PALETTE MANAGER WINDOW:
This window allows you to select colors and patterns.
Select a palette type or color selector (Color Wheel or Color Ring) from the scrolling list (palette type selection view).
The two popup menus below the scrolling list show the ID of the resource type and the names of the resources. If there is no name, then the resource ID is shown.
Below the name popup menu is the text field that shows the resource type selected.
To the left of the palette selection view is the prompt field.
Below the ID popup menu is the selection view. To select the color selector, color or pattern click in the view.
Under the palette type text field may appear a left pointing triangle. When an indexed palette type (clut, pltt, or PAT#) is selected, the number of entries may exceed the available selection view space. Click this triagle to view additional entries.
To the left of the palette type text field is the color model selector popup menu. The color model selected determines how the palette manager interprets the values in the color edit fields below.
The buttons to the right of each color edit field allow you to increment or decrement the value of the field by 10,000 for the RGB and CMY color models. By 1 for the HSV and HSL color models.
At the bottom are four boxes. The boxes left to right show the present selectioned of colors and pattern (individualy or mixed), the original pattern and the original (foreground) color. The box below the original color shows the present background color (initialy white).
The BG box when checked interpretes a color selections as a background color. When unchecked, a color selection is interpreted as a foregound color. Only the foreground color is used.
The Mix box when checked will show the affect of mixing the selected foreground and background colors with the selected pattern. If the box is unchecked, then only the palette selection is show.
PREFERENCE WINDOW:
Allows you to modify several preferences of the program and the default preferences used when creating a new data base. The main preference of the program is the setup of your cash and budget ( Income and Expense ) accounts.
On the left side of the window is a list of icons that allows you to select the category of preference to modify. The Preference Selection popup menu can also be used to select the category of preference to modify.
In the bottom portion of the window is five buttons:
Save:
Saves the preference settings as the program's default settings. The program's preference file will be updated. Several other program states are also saved.
Load:
Loads a preference file.
There are nine preference categories;
General Date Accounts Names Save Reg Color Print Security Chart
General preferences:
Set the default owner's name of the data base (this is used to separate data bases for routines that process more than one data base).
Save window positions.
Remember the positions of all program windows. If this feature is active, the program will remember the location and size of a window when it is closed and restores the size and location of a window when opened.
Note: The data base windows are managed by their own preference settings, not by this setting.
To make use of this feature do the following:
1. Check the Save Windows check box.
2. Click on the OK button.
3. Open each window and set the windows position and size before closing the window.
4. Open the Preferences window.
3. Click the Save button in the Preference window.
Date preferences:
Set the entry, display date formats and the default year. The entry format determines the format required for a valid date entry. The Display format determines how dates are displayed.
Enter the year that will be used as the default year in all date entries. When the program first starts you should set the default year.
Select the date format, and separator (exp. MMDDYYYY / will produce the result of 12/01 for an entry of 12/1, the year is optional and can be entered YY or YYYYY, leading zero's on entries are not required).
Account preferences:
There are two types of accounts managed by this program, those that represent actual cash and those that track distribution of that cash, which are called budget accounts. You are not required to create budget accounts, but there must be at least one cash account. Each budget account is either an Income or an Expense account.
To add an account, select one of the account type lists (cash or budget) and enter a name in the Account Name field, then click the Add button. The name entered must be unique. There are a few restrictions that if used would confuse you and the program. I can not think of any reason to use them.
To set the account type for a budget account, select the account, then select the account type (Expense or Income).
To delete an account, select the account from the account type list, then click the Delete button.
Name preferences:
You may attach names to each budget account. The name is used in the various data entry windows name field when a budget is selected.
To give a name to use with a budget account:
Enter a name in the Account Name field.
Select the budget account to attach the name to.
Save preferences:
You can have the program save your data base at regularly scheduled times. If you check the prompt option the program will ask if you want it to save otherwise it saves in the background. You can set the save interval from 1 to 30 minutes.
Reg Color preferences:
This preference allows you to set the Register grid's colors or patterns. If the monitor is set for Black and White, then patterns are used.
You can set color for both the text and background when selected and not selected. Double-clicking on a selection box opens the Palette Manager Window allowing you to select colors and patterns from several resources. The resources are stored in the applications resource fork and not in the preference file. There are two color selectors available, Apple's Color Wheel and my Color Ring (see the Palette Manager help).
Clicking on a row in the sample grid allows you to see the affects of your selections.
Click the Deselect button to clear a row selection.
If the Use Color Wheel box is checked, then the Palette Manager is told to use Apple's Color Wheel as the default color selector. Otherwise the Palette Manager uess it's own default selector.
Print preferences:
This allows you to select how much information to print or save as text per window.
You may also select the creator code for the saved file either by entering a four character code or selecting from the popup menu.
The Auto Get Pref box when checked, will automaticly retrieve the preferences of a selected window. Otherwise the setting are unaffected by a selection in the Windows scroll list.
The Home Accounting program has a default Page Setup. You may have a window use the default page setup or it's own.
The Get Window button retrieves the preferences for the selected window.
The Set All Windows button sets the preferences for all windows to the present preference settings.
Security preferences:
This allows you to set the level of security on the program as well as the data. The encryption routine is not that secure. For maximum security use a real encryption program.
Password Protection.
An invalid password entered at startup will prevent the program from running.
When entering the password a filler character is shown in the entry field. If you check the Show Characters box, then the actual characters are displayed in the entry field. This may cause a security problem if someone is looking over your shoulder when you enter your password.
You may elect to have the program close it's windows and require the password to be re-entered after a given amount of inactivity (1 to 30 minutes).
Encryption.
Encryption requires a password.
Chart preferences:
This allows you to select the default chart used.
RECONCILE ENTRY WINDOW:
Select reconcile from the Register window.
Enter the Year and Month of the entries to be reconciled. The year and month entries should be from the bank statement. Those entries plus all uncleared entries will be displayed in the Register window (this is a sort function).
Click the Reconcile button.
The Reconcile Entry window works much like the Check Edit Entry window.
The Reverse Entry checkbox determines which direction the data base entries in the Register window will be edited. If the box is checked, then the editing will proceed from the end to the beginning (reverse order).
The OK button updates the data base and based on the setting of the Reverse Entry checkbox selects the next data base entry to edit.
The Skip button based on the setting of the Reverse Entry checkbox selects the next data base entry to edit. There is no modification to the data base.
REGISTER WINDOW:
Displays the current data base entries by cash and/or budget accounts. The display shows only entries that meet the display selections (cash and budget). A sort function will further restrict what is displayed in the register. Click the UnSort button to see all entries that meet the display selections.
The balance column applies only to the applicable cash account.
Display functions:
Scroll horizontaly to see the assigned accounts, it's type (income or expense) and it's data base entry number.
At the bottom of the grid are three text boxes; Cleared, Staring Balance, Annual Budget.
The cleared entry shows the balance for all cleared entries for all accounts displayed.
The Starting Balance entry shows the sum of all starting balances for all cash accounts displayed.
The Annual Balance entry shows the sum of all annual balances for all budgert accounts displayed.
Click on a row to select an entry. The Up and Down arrow keys may be used to move the entry selection.
The vertical scroll bar affects which display entries are visible.
The top arrow scrolls the previous entry onto the display.
The bottom arrow scrolls the next entry onto the display
Clicking in the gray region above the thumb scrolls the previous set of display entries onto the display by a total number of rows viewable).
Clicking in the gray region below the thumb scrolls the next set of display entries onto the display by a total number of rows viewable.
The cash account popup menu selects which cash account (or all cash accounts) is displayed in the Register.
The budget account popup menu selects which budget accounts (all budget accounts, non-budgeted entries, all income accounts, income account, all expense accounts, expense account) are displayed in the Register.
The Show Comments button turns on or off the displaying of the comment lines associated with a data base entry.
Transfer will allow you to make a double entry that transfer cash from one cash account to another.
Data entry and modification:
Double-Click on a non-blank entry to edit or on a blank entry to add a new entry.
Click on the Add button to add a new entry.
Click on the Edit button to edit a selected non-blank entry.
Click the Insert button to insert a new entry before the selected entry.
Click the Delete button to delete the selected entry from the data base.
Click the Move button to move an entry (shown in the from field) before the selected entry. If the selected entry is 0, then the moved entry will be place after the last displayed entry.
Sorting:
The sort routine only creates a sort list for display purposes, it does not modify the order of entries in the data base.
You can select what column to sort, by making a selection in the popup menu or by single-clicking on a cell in the header.
To do an ascending sort on a column, double-click on a cell in the header or click on the Ascend button.
You can also sort the data base by comments, by selecting comments in the sort popup menu.
Searching:
The search routine searches the data base entries by the field selected in the sort popup menu. Searching by Entry Number causes a search on all fields of a data base entry.
Click the Find or (Find) Again button to find an entry in the display matching the text in the search field. If the Check Case box is check the search will check the case (i.e. A is not the same as a). Find starts the search form the first valid display entry. Find Again starts the search from the last successfully found entry. If find again fails, then a find again default to find search.
If the Logical box is checked a more complex searching method will be used. A Logical search window will be opened and you will be able to specify a more complex search equation. See the Logical Search help for more details.
When the Exclude Accounts box is checked, then the account fields (cash or budget) are ignored when searching by Entry Number.
Reconcile:
Show All will cause only data base entries that are uncleared or have a cleared data with the month and year entered to be displayed (this is a sort function).
Show will cause only data base entries that are uncleared to be displayed (this is a sort function).
Select which cash account to reconcile from the pop-up menu.
Click the Reconcile button to open the Reconcile Entry window.
REGISTRATION:
Home Accounting is shareware. Shareware is try-before-you-buy-software. (It is not use-it-as-long-as-you-like-for-free software. That kind of software is called freeware.)
If you like it and use it, please register as follows:
There is no fee for versions before 1.0.0 (these would be any development versions where the version number ends with one of the following characters: d, a, b, or p).
The registration fee for any version (from 1.0.0 and up) is $15. Supply the registration information shown in the Registration window selectable from the FUNCTIONS menu. You must send a return disk mailer with the proper postage and correct mailing address in order to receive the latest unlimited version.
Foreign Users: If you are outside the US, please send the fee in US funds. Any foreign currency or checks will be kept as a collectable.
I do not take credit cards. I'm just a guy writing software and getting a few checks. This would be a big hassle for me to accept credit cards.
When you register, PLEASE let me know where you got it, more important, WHAT VERSION you are registering. If you have an E-mail address, PLEASE include it.
